Closed Captioning

Closed captioning (CART) will be provided at all NCORE Virtual Connections sessions and NCORE Webinars.

Enabling Closed Captioning on Zoom

All sessions will include real-time captions. To enable Closed Captioning on Zoom:

  1. Click the Settings tab in the navigation panel.
  2. Click the Meeting tab.
  3. Verify that Closed Caption is enabled.
  4. If the setting is disabled, click the toggle to enable it. If a verification dialog displays, click 'Turn On' to verify the change.

Breakout Sessions

Some sessions will require break out rooms for further discussion and session exercises. 

Zoom only allows one captioner for each session. If you require Closed Captioning, please stay in or return to the main room so the Session Host can send you to the same room as the captioner.

Sign Language Interpretation

All NCORE Webinars will ‘Spotlight’ active speakers and sign language interpreters during live sessions and recordings.
 
All general sessions will ‘Spotlight’ active speakers and sign language interpreters. Participants will be required to ‘Pin’ interpreters and active speakers for their own use.

Pinning Interpreters and Active Speakers on Zoom

  1. Hover over the video feed you would like to Pin (e.g. active speakers and interpreters)
  2. Click … in the upper righthand corner of the video feed
  3. Select Pin Video; up to nine (9) video feeds can be ‘Pinned’ at one time 

Participants who require sign language interpretation for all sessions must request services at registration. Contact us at ncore@ou.edu if your needs change or you have questions about services.

Breakout Sessions

Some sessions require break out rooms for further discussion and session exercises. If you require sign language interpretation, please stay in or return to the main room so the Tech Host can send you to the same room as your interpreters.

Report Accessibility Concerns

Report accessibility issues and concerns to the session Tech Host in Chat so our team can troubleshoot:

  1. Click or tap Chat.
  2. A chat window will appear on the right if you are not in full screen or it will appear in a window you can move around the screen if you are in full screen.
  3. Select the “Host” from the To drop down.
  4. Type your message and press Enter to send it.
  5. A notification will appear at the bottom of your screen when you receive a chat message.

Podcast Setup

NCORE presenters and keynote speakers are contractually obligated to build accessible presentations so no one is left out of the conversation. 

NCORE provides all presenters with a PowerPoint template built with recommended formatting and required slides (Land Acknowledgement, Inclusion Statement). Download our Online Presentation Accessibility Guide for full requirements. (opens in new window)

Key online presentation requirements include:

Font

Use sans serif fonts (a.k.a. fonts without small lines or strokes attached to the end of their larger strokes). Good examples are Helvetica, Arial, Verdana, Calibri, and Antique Olive.

All materials, including PowerPoints, must use 14pt + font size. Use bold, underlining, and “quotation marks” for words and phrases needing emphasis rather than italics, which are less visually accessible. No shadows on text! 

Color 

Font and background colors should have high contrast i.e. light font on a dark background or dark font on a light background. Never use gray. It is the least accessible color for participants with visual impairments due to its lack of contrast with every color, including white.

Images 

All images related to presentations (non-decorative) should have alt text provided. Alt text is a brief description of the image that can be attached in PowerPoint. For added accessibility, describe images and how they relate to the presentation during the webinar.

Audio/Video 

Presentation PlanningAll videos shared during online sessions must be captioned.
 
Presenters should confirm a quality internet connection and clear, consistent audio and video before their session. 
 
Presenters should also check lighting for their face and upper body (well-lit, but not washed out) and avoid distracting backgrounds, clothing, lights, and noise whenever possible. 
 
Announce the use of loud music or flashing images, video, and/or lights at the beginning of your presentation and before use so participants with sensory issues can plan and act accordingly. 
 
Speak clearly and at a reasonable pace. Pause between topics and for questions so participants have time to process and react to information. This also helps sign language interpreters and captioners provide quality services to participants. 
 
Describe images, video, and audio used during presentations and how they connect with your presentation. Bonus points if presenters describe themselves before they speak for the first time!

Post Session Content Access 

Captioned session recordings, unedited transcripts, slide decks, and handouts are provided after NCORE Webinars and online conference sessions whenever possible. 
 
Free NCORE Webinar recordings and materials are provided to the public on the NCORE Webinar Archive. Fee-based NCORE Webinar recordings and materials are provided to paid participants only via private links and documents.
